About the Role

We’re currently looking for a highly driven, organised and proactive individual to join our Infrastructure Business Group in an Office Manager position, based at Flinders Gate, VIC.


Reporting to our General Manager, Infrastructure VIC/SA/TAS, you’ll work in a supportive and empowering environment to set you up for success. As an Office Manager, you’ll be responsible for planning, directing, and coordinating administration, support services and activities at our Melbourne CBD office, as well as leading and empowering a team of receptionist/administrators. 

Key Responsibilities include:

  • Manage the day-to-day operations of the office.
  • Oversee and coordinate the effective day-to-day running of the reception and administration functions and provide support and training to the staff.
  • Oversee appropriate resourcing for support staff and provide backup support to the Regional General Manager, Pre-contracts team, receptionist, office support staff and other departments when necessary.
  • Establish, build and maintain relationships with the property managers, office suppliers, sub-contractors to ensure deliveries and works are scheduled and completed.
  • Ensure all JH sub-contractors follow the appropriate processes and are inducted into the building.
  • Coordinate and manage travel administrative services for HO staff, follow up on any queries from the travel office or senior management and process travel bookings.
  • Manage and reconcile the petty cash float.
  • Review and approve IT requests on behalf of the Executive General Manager.
  • Maintain an asset register and manage IT software and hardware distribution for head office and project offices to ensure equipment is re-assigned where possible and report on the IT Asset Management cost savings to the business as required.
  • Establish all files and computer directories and maintain a filing system of general reports and correspondence.
  • Design and implement office policies.
  • Assist with reception and kitchen duties as required
  • Assist the EA to the Executive General Manager and Managers with tasks as required.

To be successful:

  • A minimum of 5 years’ experience in an office environment in a similar role 
  • Experience providing support at a senior level
  • Basic knowledge of accounting, data and administrative management practices.
  • Experience leading and mentoring a team 
  • Proficient computer skills and knowledge of relevant software such as Microsoft Office Suite
  • A general understanding of the technology and systems associated with records management
