This role is a vital part of our Infrastructure business unit, working closely with the Senior Leadership Team at the state head office in Fortitude Valley. You’ll be at the heart of our operations—managing schedules, building strong client relationships, coordinating project events, and preparing reports that keep our projects on track.

Key Duties & Responsibilities:

 

  • Manage the day-to-day activities of at least one General Manager in the Infrastructure business unit and provide ad hoc support to their team
  • Manage financial records such as expenses, invoices, and purchaser requisitions
  • Oversee and coordinate management diaries, which will include scheduling and calendar planning
  • Coordinate all aspects of internal and client meetings, preparing agendas, typing minutes, and distributing to the relevant stakeholders
  • Provide Administrative support, such as preparation of correspondence, presentations, marketing material and reports for current and potential customers
  • Monitor and respond to communications on behalf of the General Manager
  • Coordinate travel and accommodation arrangements.
  • Communication with client representatives, external vendors, subcontractors, and community stakeholders as needed

  • A highly organised individual who can prioritise multiple conflicting deliverables
  • An excellent people person with well-developed communication skills
  • Able to treat sensitive information with a high level of confidentiality
  • Proficient computer skills and knowledge of relevant software such as Microsoft Office Suite
