About the project:

 

John Holland and Seymour Whyte have been engaged to deliver the Beerburrum to Nambour (B2N) Rail Upgrade Stage 1 project. The project is set to increase the capacity and reliability of the North Coast Line, enabling more efficient travel and improved passenger and freight connections between the Sunshine Coast, Moreton Bay, Brisbane and beyond.

About the role:

 

The Project Administrator will play a crucial role in supporting our project team, ensuring that all administrative functions are performed to the highest standard to contribute to the efficient operation of the project site. The successful candidate will be a pivotal member of the team, with a proactive approach to managing administrative tasks and the ability to adapt to the dynamic needs of the project.

Responsibilities of the role include:

 

  • Provide administrative support to the project management team, including document control, correspondence, and filing
  • Manage the reception area of the site office, greeting visitors, and handling inquiries
  • Coordinate meetings, take minutes, and distribute action items to relevant parties
  • Assist with the coordination of site inductions and training for new staff and subcontractors
  • Maintain accurate records of site personnel, including contact details, attendance, and any certifications or qualifications
  • Process purchase orders, delivery dockets, and invoices in line with company procedures
  • Assist with the preparation of reports, presentations, and project documentation
  • Ensure compliance with John Holland’s health, safety, and environmental policies
  • Liaise with suppliers and subcontractors as required to facilitate site operations
  • Manage office supplies inventory and place orders when necessary
  • Facilitate the flow of information between the site and head office

To be successful in this key role, you must have:

 

  • Proven experience in an administrative role, preferably within the construction or related industry
  • Experience with document management systems and proficiency in MS Office suite
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team in a fast-paced environment
  • Knowledge of the construction industry and site operations is highly regarded
  • Certificate or diploma in business administration or a related field is advantageous
  • Strong attention to detail and problem-solving skills
  • Adaptable and able to handle multiple tasks simultaneously
  • Professional demeanour and a commitment to upholding company values
