About the role

 

Based in our Brisbane office we currently have a nine-month maternity leave contract available for a Team Assistant supporting the QLD / NT Infrastructure General Manager and the General Manager – Water Infrastructure.

Key respsonsibilities

 

  • Provide professional, confidential support to two General Managers
  • Efficiently manage multiple diaries including scheduling and calendar planning
  • Monitor and respond to communications including emails, phone calls and written correspondence
  • Provide administrative support, such as preparation of correspondence, presentations, marketing materials and reports for using Microsoft applications and other systems
  • Coordinate all aspects of internal and client meetings, by preparing rooms and agendas, typing minutes, and distributing to the relevant stakeholders
  • Process and manage financial records such as expenses, invoices, and purchase requisition
  • Coordinate travel (including international) and accommodation arrangements
  • Identify, modify and improve work processes where necessary
  • Assist other team members with JH systems and programs
  • Treat sensitive information with a high level of confidentiality
  • Organise events relevant to the team and wider office, including the EOY function

About you

 

  • 5-8 years’ experience in an office environment
  • Experience providing support at a senior level
  • High level of communication skills both in writing and verbal
  • Knowledge of accounting, data and administrative management practices
  • Advanced computer skills and knowledge of relevant software such as Microsoft Office Suite and other John Holland systems such as FCM travel system
  • Knowledge of administrative practices and procedures
  • Knowledge of document management procedures and processes
  • An understanding of the technology and systems associated with records management
