About the Role

As Personal Assistant, you will provide high-quality administrative support to the Chief Operating Office, helping to coordinate day-to-day activities and ensure the efficient operation of the team. Based at our Flinders Gate office in Melbourne, you will play a key role in supporting diary management, communications, reporting, records management, procurement, accounts and invoices, travel arrangements, logistics and purchasing.  

Working closely with the nominated General Managers and the Executive Assistant to the Chief Operating Officer, you will provide seamless support across the broader Chief Operating Office, while assisting with a range of administrative and ad hoc activities that contribute to the smooth running of the function. 

What you will do

  • Provide high-quality administrative support to the nominated General Managers and wider Chief Operating Office, helping coordinate day-to-day activities and priorities.
  • Manage calendars, scheduling and communications, ensuring meetings and key activities are effectively coordinated.
  • Prepare correspondence, presentations, reports and other documentation to support internal and external stakeholders.
  • Maintain records, procurement and financial administration, including expenses, invoices and purchase requisitions. 
  • Coordinate travel, accommodation and logistics arrangements, and support the delivery of internal and external meetings and events.
  • Support the Executive Assistant to the Chief Operating Officer and contribute to continuous improvement of administrative processes and ways of working. 

What we are looking for

  • Substantial experience providing administrative support within a busy office or corporate environment, supported by a Certificate II, III or IV in Business Administration, or equivalent practical experience.
  • Strong organisational skills, with the ability to manage competing priorities and maintain a high attention to detail.
  • Excellent communication and administration skills, including experience preparing correspondence, presentations, reports and other business documentation.
  • Proficiency in Microsoft Office and a solid understanding of administrative practices, records management and document control processes.
  • Sound judgement, discretion and the ability to handle sensitive information confidentially.
  • A professional and collaborative approach, with a strong customer service focus and the ability to build effective working relationships.
