We are looking for a Senior Document Controller to join us. 

About the Role;

 

Manage various aspects of document control, including the receipt, storage, retrieval and circulation of documents, review coordination, external submission and distribution control. The documents may include design and As-built documentation, transmittals, specifications, reports, and correspondence.

 

This position requires exceptional attention to detail, strong organisational skills, and a commitment to maintaining accurate and up-to-date records.

Responsibilities of the role include;

 

  • Support the establishment and implementation of efficient project-related document control register, database and hard copy filing system.
  • Implement Project Document Management System and processes.
  • Support the establishment of project correspondence system.
  • Ensure document submissions are in accordance and compliant with the project document formats and requirements.
  • Implement workflows and collate, issue, and receive documents in accordance with project requirements for the development, review and approval of design documentation and all other procedures, instructions, product certification and records that are subject to review and approval.
  • Plan and record document flow to and from all necessary parties, including clients, sub-contractors, consultants, and the project office.
  • Provision of training and support within the Document Team.
  • Record issues and track location of control documents and drawings.
  • Issue letters and receipts concerning the documents in circulation.
  • Ensure current versions are maintained of all documents subject to revision and ensure current versions of documents are issued to required project parties.
  • Coordinate storage and archiving of project and organisational records.
  • Coach other project team members and stakeholders on the record management systems, procedures and processes.
  • Ensure the documents are managed in strict confidentiality. 
  • Collaborate with project team members to resolve any document-related issues or discrepancies.

To be successful in this key role, you will have;

 

Qualification:

 

  • Higher School Certificate (HSC) or equivalent experience in Business or Administration
  • Degree or post-secondary school training or TAFE certificate in Business Administration, Finance, Human Resources or other associated disciplines

 

Experience:

 

  • Demonstrated construction experience in a document controller role.
  • Experience in document management systems
  • Advanced computer skills
  • Prioritisation skills
  • Records management 
  • Knowledge of project management systems and processes
  • Experience in project environment or equivalent industry
  • Teambinder experience
