About The Opportunity

We are currently seeking an experienced Team Assistant to join our Infrastructure team.

 

Based at John Holland’s Flinders Gate office in Melbourne, this role provides practical, day-to-day administrative support to the Infrastructure Business Unit, working closely with the Personal Assistant to the General Manager Infrastructure, you will help coordinate daily activities, inclusive of travel arrangements, event coordination, purchasing and reconciliation and record keeping.

Your Role:

  • Provide high-level administrative support to the infrastructure team, ensuring smooth and efficient day-to-day operations.
  • Coordinate end-to-end team travel arrangements, including bookings, itineraries, and approvals, in line with company policies and timelines.
  • Manage team compliance activities, including monitoring and following up on timesheets, tracking annual leave, and ensuring completion of mandatory training.
  • Plan and deliver team events and initiatives, coordinating catering, venues and attendee management
  • Maintain accurate administrative and financial records, including processing expenses and raising purchase requisitions.
  • Act as the primary liaison for IT support, raising service requests for Wi-Fi access, equipment, and troubleshooting issues as needed.
  • Oversee workspace logistics, including seating allocations, locker assignments, and the organisation and upkeep of archives and storerooms.
  • Manage procurement and inventory of PPE, corporate attire, and merchandise, ensuring appropriate stock levels and distribution.
  • Support Health & Safety initiatives by assisting with incident logging, maintaining records, and coordinating site walks and safety activities.
  • Provide responsive ad hoc administrative support, including meeting room coordination, maintaining distribution lists, developing presentations and printing documents.

About You:

You will have previous experience in an office environment, with a basic understanding of accounting, data, and administrative practices, along with strong proficiency in Microsoft Office and confidence working across systems.

 

You are organised and detail-focused, with the ability to manage competing priorities and meet deadlines. You communicate clearly and build positive working relationships across all levels, bringing a professional and adaptable approach to stakeholder interactions.
