We are currently seeking an experienced Training Coordinator to join John Holland’s Training Academy.  This position will be based in Spotswood.

The role delivers administrative and coordination support primarily to the John Holland Rail business, while also assisting with non-rail projects and Training Academy initiatives.  

About the Role

Training Coordination & Administration

  • Monitor and manage the training inbox, responding to queries, maintain the training calendar and training requests in a timely manner.
  • Coordinate and schedule training activities in response to stakeholder requests.
  • Liaise with internal teams and external Registered Training Organisations (RTOs) to ensure efficient and cost-effective training delivery.
  • Manage the scheduling, tracking, and documentation of employee medicals in line with company and industry standards.
  • Track and raise purchase orders and process invoices.

Systems & Data Management

  • Utilise systems such as SuccessFactors, Rail Industry Worker (RIW), 3D Safety, and ELO for training administration and data entry.
  • Upload and maintain competency documentation across internal and external systems.
  • Generate and analyse expiry reports to support timely competency recertification.
  • Use Power BI to generate training and compliance reports.

Stakeholder Engagement & Communication

  • Develop and maintain strong working relationships with key internal and external stakeholders.

About You

We are seeking a proactive Training Coordinator with previous experience in the construction industry, and ideally, experience in the rail industry. This role requires someone who thrives in a fast-paced environment and is passionate about delivering high-quality support across multiple locations. You must be able to demonstrate:

  • Strong administrative skills with advanced computer literacy and attention to detail
  • Proven ability to manage multiple priorities and work effectively under pressure
  • Experience in Rail Industry Worker (RIW) and 3D Safety competency management systems (essential)
  • Advanced proficiency in Microsoft Outlook and Excel, particularly for data analysis and manipulation
