We are seeking a Senior People Systems Analyst – Workforce Software to support the configuration, maintenance and ongoing optimisation of the organisation’s Workforce Management (WFM) platform.

This role can be based at our Pyrmont office in Sydney or our Flinders Gate office in Melbourne.

You will play a key part in the design, configuration and delivery of the organisation’s new Workforce Management (WFM) system as part of a broader systems transformation program. Embedded within the project team, you’ll provide subject matter expertise in workforce management, ensuring the solution aligns with operational needs and supports accurate scheduling, forecasting, timekeeping and reporting.

Following go‑live, the role will be responsible for the ongoing administration, optimisation and support of the WFM platform. You’ll work closely with HR, Operations, IT and vendor partners to ensure the system continues to meet business, compliance and reporting requirements as the organisation’s needs evolve.

About the Role

  • Ensure the Workforce Management (WFM) system is configured to meet business requirements, including scheduling rules, pay rules and compliance settings.
  • Maintain system integrity through regular audits, updates and patch management.
  • Manage user roles, permissions and access controls in line with organisational policies.
  • Monitor system access logs and ensure data security and privacy compliance.
  • Act as the primary point of contact for WFM system issues, troubleshooting errors and coordinating with vendors or IT as required.
  • Provide Tier 2/3 support to end users and escalate unresolved issues appropriately.
  • Ensure timekeeping, scheduling and attendance data is accurate and up to date.
  • Develop and maintain dashboards and reports to support workforce analytics and decision‑making.
  • Create and maintain user guides, training materials and standard operating procedures.
  • Deliver training to HR, operations and frontline managers on system functionality and best practices.
  • Participate in system upgrades, testing and implementation of new features or modules.
  • Collaborate with stakeholders to gather requirements and implement system enhancements.
  • Ensure the WFM system supports compliance with labour laws, union agreements and internal policies.
  • Prepare for and support internal and external audits related to workforce data.
  • Support integration between the WFM system and other platforms, including payroll, HRIS and ERP systems.
  • Monitor data flows and resolve integration errors or discrepancies.
  • Assist in configuring and maintaining forecasting models and scheduling algorithms.
  • Support operations teams to optimise labour deployment and reduce inefficiencies.
  • Work closely with HR, Payroll, Operations and IT to align system capabilities with business needs.
  • Communicate system changes, updates and impacts effectively to relevant stakeholders.
  • Keep up to date with the latest offerings in the HCM / WFM space.
  • Provide insights and recommendations on the HR / WFM data.
  • Prepare and clean data required for the WFM systems.
  • Ensure data integrity and compliance with data privacy regulations (e.g. EBA Interpretation).
  • Collaborate with IT and HR teams to improve data infrastructure and reporting capability.

About You

You have substantial experience working within Workforce Management (WFM) systems and are comfortable operating across both business‑as‑usual system administration and implementation environments.

Requirements for this role include:

  • Advanced capability in Microsoft Excel and the Microsoft Office Suite
  • Experience with HR systems such as Workforce Software, Kronos, Chris21 or SAP SuccessFactors
  • Knowledge of SQL and JavaScript
  • Experience configuring pay rules and bank rules, with an understanding of WFS Time & Attendance configuration scripting
  • Working knowledge of the software development life cycle, including documentation, testing and UAT participation
  • Experience preparing system documentation and end‑user training guides
  • Familiarity with data privacy regulations and HR compliance standards
  • WFS Suite Time & Attendance certification and confidence using the WFS Admin Tool
  • Working knowledge of at least one additional programming language
