Are you up for the challenge?

We are looking for a Senior Submissions Coordinator to join our submissions group.  This role will be based out of the Pyrmont office in Sydney.

This position will see you coordinating the production of high-quality, client-tailored expressions of interest (EOI) and tender submissions, including pre-qualification documents, to secure new business.  You will contribute to the bid strategy by coordinating, implementing, and completing submissions that are consistent with John Holland’s strategic direction and brand.

About the Role

  • Coordinate, facilitate and assist the company’s tender and EOI process
  • Prepare and monitor writing plans and submission schedules that facilitate submission governance (i.e. tender launches, storyboarding sessions, review meetings etc)
  • Develop effective communication strategies that protect and enhance John Holland’s reputation, brand, and market position
  • Carry out research, update records, and maintain detailed information as part of a busy and flexible team
  • Apply project management skills with a primary focus on setting priorities and coordinating multiple work requirements to meet deadlines
  • Apply business acumen and analytical skills
  • Form effective relationships with a range of key stakeholders, both internal and external, and influence a broad range of working styles and personalities
  • Coach the bid team in persuasive writing and submission best practice
  • Communicate at a senior level with managers and company executives
  • Ensure a high attention to detail with an emphasis on accuracy and thoroughness for all written communications
  • Adapt communication style, approach, and format to suit differing audiences
  • Motivate teams in a fast-paced changing environment
  • Show flexibility in working extra hours sometimes at short notice
  • Evolve and continuously improve the approach and process of submission management
  • Perform all duties in accordance with John Holland policies, processes, systems and procedures       

About You

As a Senior Submissions Coordinator, you will have significant proven experience coordinating the production of compliant EOI and tender submissions in complex business environments.

A degree in Business, Marketing, Communications, or equivalent is desirable, together with substantial experience in communications, publications and submission preparation/coordination and management.

You can demonstrate advanced MS Word skills, proficiency in MS Office and Adobe Creative suite (especially InDesign) and thrive in fast-paced environments. 

You are highly organised, analytical, and excellent at managing timelines, enjoy supporting multi-disciplinary bid teams and managing multiple internal and external stakeholder expectations, are expert at pulling apart and rebuilding documents, and have the ability to maintain pace and momentum.
