Are you up for the challenge?
We’re looking for a proactive Team Administrator to join our NSW Submissions team based in Pyrmont. This is a hands‑on, collaborative role for someone who enjoys working at pace and producing polished, high‑quality documents in a deadline‑driven environment.
You will play a key part in the preparation and coordination of submissions, working closely with bid leaders and the wider business, and supporting the tools, templates and systems that underpin our submissions process.
About the Role
- Provide general administrative support to the submissions team, including handling correspondence and maintaining templates
- Coordinate the collection of information from internal contributors and ensure all materials meet guidelines
- Support version control, file management, and document organisation
- Assist with communication between team members and stakeholders
- Identify, modify and improve work processes where necessary
- Gather required information from subject‑matter experts, project managers, and other contributors
- Maintain technical currency and remain up to date with advances in documentation technologies to ensure efficient, effective and accurate documentation procedures
- Establish and maintain tender correspondence filing system
- Treat sensitive information with a high level of confidentiality
- Expedite the review and approval of relevant documentation including tender documentation, technical documents, contractual correspondence and general correspondence
- Perform all duties in accordance with John Holland policies, processes, systems and procedures
About You
You have experience working in an office environment and are comfortable with hands‑on tasks such as formatting documents, maintaining templates and managing files. You will ideally hold a Certificate III or IV in Business Administration (or equivalent experience) and be confident using the Microsoft Office suite, with advanced skills in MS Word and solid capability in PowerPoint.
You have a strong eye for detail and understand the importance of accuracy and information management. Comfortable working with shared drives, document libraries and systems such as SharePoint, you are organised, proactive and work well with a range of stakeholders, delivering a high standard of customer service while supporting well‑presented materials.
