We are currently seeking an experienced Team Assistant to join our legal function.
Based in Pyrmont, this role provides practical, day-to-day administrative support to the Legal team. Working closely with the Group General Counsel’s Personal Assistant, you will help coordinate daily activities, manage information and communication flows, and ensure the team’s operations run efficiently.
You will assist with scheduling, meeting coordination, document preparation, record keeping, and basic financial administration, as well as supporting stakeholder interaction and internal processes. The role requires strong organisational skills, attention to detail, and the ability to handle a range of tasks in a fast-paced environment.
About the Role
- Support the organisation of day-to-day activities of the General Counsel and broader legal team
- Provide administrative support, such as preparation of correspondence, presentations, marketing material and reports for current and potential customers
- Maintain the records management system, ensuring that information is accurate, up-to- date and stored safely
- Maintain and update financial records such as expenses, invoices and purchase requisitions
- Coordinate all aspects of internal and client meetings, preparing agendas, typing minutes, and distributing to the relevant stakeholders
- Coordinate travel (including international) and accommodation arrangements
- Oversee and coordinate the legal team’s diaries, which will include scheduling and calendar planning
- Monitor and respond to communications on behalf of the legal team
- Provide accurate information and customer service to the client, external vendors, subcontractors, and community stakeholders.
- Exercise use of basic software, such as Microsoft applications
- Identify, modify and improve work processes where necessary
- Assist other team members with John Holland systems and programs
- Treat sensitive information with a high level of confidentiality
- Support the Personal Assistant to organise events relevant to the team and within the advised budget
- Perform all duties in accordance with John Holland policies, processes, reporting, systems and procedures
About You
You will have substantial experience in an office environment with a strong knowledge of accounting, data and administrative practices. Demonstrated proficiency in Microsoft Office is also required.
Your attention to detail, ability to meet deadlines, and confidence communicating clearly at all levels will see you succeed in this role.
