We are currently seeking an experienced Team Assistant to join our legal function.

Based in Pyrmont, this role provides day to day administrative, coordination and operational support to the legal team within John Holland.  You will ensure the efficient management of legal documentation, administration processes and compliance activities, supporting the delivery of timely and effective legal services across John Holland projects.

This position plays a critical role in maintaining document integrity, supporting contract lifecycle administration, and facilitating communication between legal, commercial, project, and external stakeholders.

About the Role

  • Provide high-quality administrative assistance to the General Counsel and national legal team, including diary management, meeting coordination, and preparation of agenda and papers
  • Maintain organised electronic and physical legal document management system and filing, ensuring that information is accurate, up-to-date, and stored safely
  • Assist with processing, tracking and managing financial records such as expenses, invoices, and purchase requisitions
  • Assist in coordinating contract execution processes, including obtaining signatures and ensuring compliance with internal approval procedures
  • Assist with maintaining compliance registers, including licenses, insurances, and statutory obligations
  • Provide support for implementation of legal technology initiatives where required
  • Coordinate travel (including international) and accommodation arrangements
  • Monitor and respond to communications on behalf of the legal team
  • Provide accurate information and customer service to the client, external vendors, subcontractors, and community stakeholders
  • Identify, modify, and improve work processes where necessary
  • Assist other team members with John Holland systems and programs
  • Treat sensitive information with a high level of confidentiality
  • Support the Group General Counsel’s Personal Assistant to organise events relevant to the team and within the advised budget
  • Perform all duties in accordance with John Holland policies, processes, reporting, systems and procedures

About You

You will have:

  • Substantial experience in supporting a leadership/executive/management team, ideally within a legal function
  • Experience working in a busy office environment providing high quality day to day administrative assistance, including diary management, meeting coordination, and record keeping
  • Proficiency in Microsoft systems including Word, Excel, Outlook, Teams, and SharePoint
  • Experience in managing document control systems and correspondence
  • Strong knowledge in accounting, data, and administrative practices
  • Strong organisation skills with high attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong written and verbal communication skills
