About the Role
We are looking for a Site Administrator to join our North East Link - Hoddle to Burke project
The Eastern Hoddle Bourke Alliance (EHBA) is made up of John Holland, Seymour Whyte and design partners Mott MacDonald and Jacobs Group, in partnership with MRPV. The scope of works includes upgrading six kilometres of the Freeway with new traffic lanes, bridge upgrades and urban noise walls, a dedicated busway (fully segregated from mainline traffic), and a new bridge over the Yarra River.
The NEL Project involves the design and construction of the upgrade of the Eastern Freeway from Hoddle Street in the west to Burke Road in the east, including:
- 6km of brownfield freeway widening to accommodate additional traffic lanes in each direction
- 3km dedicated busway separated from mainline traffic
- Significant structures including 600m of bridges, including a 180m architectural steel shared use path bridge of the Yarra River
- Freeway-wide scope including ITS, retaining walls, stormwater drainage, noise walls, lighting and signage
Role responsibilities
The primary objective of this position is to provide high-quality administrative support to project teams, including data entry, document and financial record management, report preparation, stakeholder communications, and coordination of meetings and events.
The role supports effective project delivery while actively upholding EHBA’s health, safety, environmental and quality values.
- Be the first point of contact for the project, welcoming visitors and managing site access and security procedures
- Provide day‑to‑day administrative and office support, including filing, database management, correspondence, reports and presentations
- Process expenses, invoices, delivery dockets, orders and subcontractor costs in the job‑costing system, ensuring accuracy, authorisation and contractual compliance
- Coordinate purchasing of site supplies (excluding permanent or engineered materials)
- Arrange and support meetings, travel, accommodation and events, including preparing and distributing minutes
- Provide professional customer service to clients, subcontractors, suppliers and community stakeholders
- Maintain office facilities, equipment and supplies in line with project needs
- Perform all duties in accordance with EHBA policies, procedures and safety, environmental and quality requirements
About You

Significant experience in an administrative support or office-based role, preferably within the construction or a similar industry.
- Experience using document management systems and databases will be advantageous.
- Advanced proficiency in the Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint.
