North Western Program Alliance (NWPA) consists of four Alliance partners – John Holland, KBR, MTM, V/Line and the client (LXRP), working together as one team to achieve shared goals.  


Since 2017, NWPA has had a proven track record with the successful delivery of eight level crossing removal projects (17 LX) and several 
premium stations, with three projects currently in delivery and two in development phase.

We are looking for an Office Manager to join us. 

About the Role;

 

Manage the operations of the NWPA Albion office and ensure all project site offices have a suitably qualified office co-ordinator to ensure the smooth running of the office environment.

Responsibilities of the role include;

 

̵    Manage the day-to-day operations of the office. 
̵    Oversee and coordinate the effective day-to-day running of the reception and administration functions and provide support and training to the staff across the various projects.
̵    Recruit and induct office co-ordinators for project site offices and provide guidance and support as required.
̵    Establish, build and maintain relationships with the property managers (as appropriate), office suppliers, sub-contractors to ensure deliveries and works are scheduled and completed.
̵    Ensure all sub-contractors follow the appropriate processes and are inducted into the building.
̵    Manage the coordination of printers under master agreement, reconcile the monthly invoice and assist with new printer requests
̵    Manage and reconcile the petty cash float.
̵    Develop and implement office policies consistent across the program of works.
̵    Organise catering for Albion office events such as meetings, presentations and training 
̵    Manage mobilisation and demobilisation of site offices.
̵    Ensuring email distribution lists are updated in in line with employee mobilisation and demobilisation 
̵    Assist the EA to the AGM and Managers with tasks as required.

To be successful in this key role, you will have;

 

•    Certificate II, III, or IV in Business Administration
•    Demonstrated years’ experience in an office environment 
•    Experience providing support at a senior level
•    Basic knowledge of accounting, data and administrative management practices.
•    Proficient computer skills and knowledge of relevant software such as Microsoft Office Suite
•    Knowledge of administrative practices and procedures
•    Knowledge of document management procedures and processes 
•    A general understanding of the technology and systems associated with records management
