About The Project

John Holland is proud to be a key delivery partner on the Cross Yarra Partnership (CYP), responsible for the Operations & Maintenance of the transformative Metro Tunnel Project.

 

As part of this iconic infrastructure initiative, we’re seeking passionate professionals to help operate and maintain five world-class underground stations and associated tunnel systems.

About the Role

Provide administrative support, which may include managing the day-to-day activities of Management or team, inclusive of diary management/scheduling, communications, reporting, records management, procurement, accounts/invoices, travelling & logistics and purchasing. Assistance may also be required in client relationship management including VIPs, events, and management meetings.

Responsibilities of the role include

  • Perform office management tasks, including procurement of consumables and catering.
  • Assist with document control, including formatting, distribution, and comment management.
  • Support scheduling of meetings and calendar planning.
  • Prepare correspondence, presentations, marketing materials, and reports for current and prospective customers.
  • Maintain records management systems, ensuring accuracy, currency, and secure storage.
  • Update financial records, including expenses, invoices, and purchase requisitions.
  • Coordinate internal and client meetings, including agendas, minutes, and distribution to stakeholders.
  • Arrange travel and accommodation, including international bookings.
  • Provide accurate information and customer service to clients, vendors, subcontractors, and community stakeholders.
  • Use Microsoft applications and other relevant systems effectively.
  • Identify and implement process improvements where necessary.
  • Assist team members with John Holland systems and programs.
  • Handle sensitive information with strict confidentiality.
  • Organise team-related events within budget.
  • Ensure all duties comply with John Holland policies, processes, reporting requirements, and procedures.

To be successful in this key role we are looking for

  Qualifications

  • Certificate II, III, or IV in Business Administration

 

  Experience

  • 1-2 years’ experience in an office environment
  • ­Basic knowledge of accounting, data and administrative management practices.
  • ­Proficient computer skills and knowledge of relevant software such as Microsoft Office Suite
  • ­Knowledge of administrative practices and procedures
  • ­Knowledge of document management procedures and processes
  • ­A general understanding of the technology and systems associated with records management
