About the Belmont Desal project:

A 30 ML/d seawater desalination plant will be delivered at Belmont South NSW, to provide weather independent supply to the community in the lower Hunter region.

 

Seen as one of the largest capital projects in the water sector in Hunter region, the community is expecting a sustainable outcome for the nature of a seawater desalination plant. It is also the first project in Hunter Water pursuing an IS Rating, as part of its Carbon Neutral Strategy by 2035

About the role:

Join our team as a Finance Administrator and become an integral part of our project's success. Provide administrative and office support relating to records management, data entry, accounts/invoices, purchasing, procurement, reporting, communications and meeting / event logistics. 

 

The role will be a full-time site-based role located in Newcastle, NSW.

Responsibilities of the role include:

  • Manage and maintain project records, ensuring that information is accurate, up-to-date and stored (e.g.: Vendor details, registers, subcontractor insurances).
  • Process invoices; purchase requisitions; purchase orders; expense claims; corporate credit card and trade card reconciliations; maintain / order stationary; and process dockets / timesheets.
  • Assist and Support Contract Administrators with preparation of Payment Schedules, PPW processing, and PCR processing for Subcontracts.
  • Assist engineering staff with procurement and administration functions where required, including generation and issue of PCR purchase orders.
  • Assist Project Accountant with relevant month end financial processes (e.g.: identification / preparation of accruals, preparation of journals, prepare / assemble audit documentation, reporting, etc.).
  • Provide general administrative support to the Project Director, Commercial Manager, and broader project team when required.
  • Provide general support to colleagues on John Holland systems and programs.
  • Provide coverage for other Project Administration staff absences when required.
  • Manage Belmont Desal project email inbox to ensure invoices, claims etc. are allocated and processed.
  • Track and analyse purchasing / invoicing status and close out completed purchase orders.
  • Perform all duties in accordance with John Holland policies, processes, reporting, systems and procedures.

To be successful in this role you must have:

  • High School Certificate or equivalent experience in administration
  • Certificate II, III, IV in Business Administration or equivalent qualifications
  • 3-5 years’ experience in an office environment
  • Intermediate to advanced computer literacy skills
  • Financial processing / financial systems
  • Administrative practices and procedures
  • Records management
  • Experience working in an administrative role within a project environment or equivalent industry
