Responsibilities of the Role:
The Project Training Services Administrator will manage competency systems and processes to ensure a compliant and capable workforce across projects. Key responsibilities include:
Competency Management Systems Administration
• Onboard direct employees, contractors and subcontractors into systems such as 3DSafety and the Rail Industry Worker (RIW) system to ensure compliance against John Holland standards as well as state, industry, regulatory and client requirements.
• Maintain a compliant workforce by auditing these systems and following up with respective workers and subcontractor organisations to retrieve renewed licenses and certifications as well as new certifications based on role changes.
• Implement new project-specific requirements in systems as required.
• Maintain standards and processes and ensure all project personnel are aware of these standards and subsequent adherence.
• Manage the scheduling, tracking, and documentation of employee medicals in line with company and industry standards.
• Ongoing liaison with subcontractor organisations regarding worker compliance and ensuring they follow processes for worker onboarding.
Systems & Data Management
• Utilise systems such as SuccessFactors, Rail Industry Worker (RIW) and 3DSafety, for training administration and data entry.
• Upload and maintain competency documentation across systems.
• Generate and analyse expiry reports to support timely competency recertification.
Stakeholder Engagement & Communication
• Develop and maintain strong working relationships with key internal and external stakeholders.
To be successful in this role, you will have:
• A minimum of 3 years’ experience in administration, preferably in the construction industry.
• Strong administrative skills with advanced computer literacy and attention to detail.
• Proven ability to manage multiple priorities and work effectively under pressure.
• Experience in Rail Industry Worker (RIW) and/or 3D Safety competency management systems is desirable.
• Proficient in Microsoft tools such as Outlook, Word and Excel, with the ability to quickly learn new systems and software. Skilled at troubleshooting and finding ways to improve digital processes.
