About the Role

John Holland is looking for a Senior Project Administrator to join our North East Link - Hoddle to Burke project

Eastern Hoddle Bourke Alliance (EHBA), comprising John Holland, Seymour Whyte, Mott MacDonald and Jacobs, in partnership with MRPV, is delivering a major upgrade of Melbourne's Eastern Freeway as part of the North East Link Project. The project includes:

  • 6km of freeway widening with additional lanes in both directions
  • 3km dedicated busway separated from mainline traffic
  • Major bridge and structural works, including a new Yarra River bridge
  • Installation of retaining walls, drainage, noise walls, ITS, lighting and signage

As a Senior Project Administrator, you will provide administrative and commercial support to the project team while leading and developing a team of Site Administrators. You will contribute to project success by promoting EHBA's safety, environmental, quality and compliance standards, while ensuring efficient project administration and commercial processes.

Role responsibilities

  • Manage site administration activities, including reception, filing, correspondence, meeting minutes, data entry, and record management.
  • Process and maintain project financial records, including delivery dockets, orders, invoices, approvals, and job costing system entries.
  • Support procurement, subcontract administration, progress claims, payment schedules, and project cost forecasting.
  • Coordinate project meetings, events, reports, presentations, and project communications.
  • Maintain vehicle, plant, equipment, and project registers while ensuring accurate electronic and hard-copy record keeping.
  • Lead, mentor, and coordinate a team of Site Administrators, ensuring effective workload management, performance, and development.
  • Ensure compliance with EHBA/NEL policies, procedures, training requirements, relevant legislation, and industry standards, including providing guidance to junior administrators as required.

About You

  • Certificate III in Business Administration (or equivalent) and a current Driver’s Licence.
  • Experience in job costing, purchasing, and accounts administration, preferably within construction.
  • Proficiency in Viewpoint (or similar systems) and Microsoft Office.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Strong communication, interpersonal and leadership skills, with the ability to manage a team and work collaboratively.
